Tax Record Retention

Will follow IRS Bulletin 2012-11 and keep your tax return for a minimum of three years.

Investment Record

Under California Code of Regulation §260.241.3, Books and Records to Be Maintained by Investment Advisers, we shall retain for five years copies of investment advisory records.

Insurance Record

We follow Title 10 California Code of Regulation section 2190.2 in retaining your insurance record for a minimum of five years.

Real Estate Record

Under California Business & Professions Code §10148, we shall retain for three years copies of all listings, deposit receipts, canceled checks, trust records, and other documents executed by Gardena Financial Real Estate or obtained in connection with any transactions for which a real estate broker license is required.

Home Loan Record Retention

Per the Consumer Financial Protection Bureau (CFPB), § 1026.25 Record retention, we will retain your record for a minimum of three years.

Clients are charged a 3% payment processing and administration fee on all payments.  The fee is calculated as a percentage on top of the payment you are making. For example, if you make a payment of $1,000, Gardena Financial will charge an additional $30.00 fee for processing the payment.

Business Continuity Plan

 We understand the importance of ensuring you have continued access to your accounts in the event our office operations are impacted by a disaster. As a result, we have developed and maintain a business continuity plan that describes how we will respond to future significant business disruptions of varying degrees of severity.

Physical Location: Gardena Financial’s office operations in Gardena, CA  can restart service in the event a significant business disruption affects the building, local business area, city, and/or region. We will continue to conduct business during those disruptions and may choose to relocate key personnel and services to our designated backup facilities. Relocations of critical functions will be completed within a reasonable time frame of the significant business disruption.

Pandemic: In the event of a disruption resulting from a reduction in the workforce due to a pandemic situation, we have a comprehensive pandemic response plan to minimize the exposure and spread of a virus in the workplace. The plan involves social distancing and other measures to avoid close physical proximity in the workplace. Social distancing includes, but is not limited to, requesting employees to work remotely, invoking swing shifts, and may require suspension of some non-critical functions.

Data: We operate a “paperless” office and our data is maintained in highly-secured data centers (multiple for redundant back up) around the United States. None of these data centers are in southern California. In addition, our clearing firm, Interactive Brokers LLC, Pershing LLC, and TD Ameritrade has multiple service centers located in various regions of the country. Both these providers—our data center and our clearing firm—have complete business continuity plans designed to allow them to continue operations in the event they experience a significant business disruption. Their plans include redundancies, alternate facilities, and recovery time objectives that support our plan.
